Case study: Booking Company Cars in the Cloud
In almost every company, employees more or less use company vehicles for their work. The organisation of transport is usually provided by means of bookings, whereby the responsible employee records and checks the requests for business trips and books the vehicles on the basis of them. Often, the process of approving a business trip or selecting the most suitable type of vehicle is an additional step in this procedure. Such a process is usually maintained on the basis of paper regulations, excel sheets, prepared forms and e-mail communication.
In case the company uses a large number of company vehicles with different parameters for transportation, or the employees go on business trips in cars for longer journeys both domestically and abroad, or the company uses rental vehicles in addition to its own fleet, the whole process starts to get more complex. What seemed like a clear and simple thing at the beginning usually becomes quite complicated in reality.
The starting point for managing such a process effectively is to digitise it as much as possible. The right company car booking solution should be available to every employee, ideally integrated directly with the business travel request process. Approvals, which are usually done by the manager, should be available at his workstation, but also directly on his phone.
👉 We have recently developed a working prototype for a similar basic booking request scenario in the SAP BTP environment, which can be further modified and developed. In fact, a couple of weeks ago we attended a meeting with the international SAP Customer Success Partner team, who take care of the satisfaction of SAP’s key customers. This experienced SAP team wanted to try working with state-of-the-art low-code/no-code tools with the help of selected partners. On this occasion, we prepared an assignment for them for a basic vehicle booking application, with a simple approval process.
👉 As the most suitable technology, we selected a tool from the SAP BTP product family, namely SAP Process Automation. This tool can create simple approval processes, which in the “Enterpise” world we also call wokflow. In the tool, we then made a basic prototype together with the SAP team within one day, based on which we verified the suitability of the selected SAP Cloud technology.
f course, making a comprehensive customized solution with different parameters and full integration into the customer’s environment will not be so trivial and creating a comprehensive and integrated solution is still a very long way off. What we can say for sure, however, is that development in an SAP Process Automation environment can save time and money compared to developing an adequate solution directly in the SAP back-end system.
